Position Summary/Objective:

The Digital Marketing Program Specialist is to maintain the day-to-day project workflow of group campaigns to help manage and strengthen our partnerships with critical business partners. This role will manage competing priorities and projects, while maintaining timeliness throughout by overseeing workflows and timelines across multiple departments. The position involves both quality assurance work and responsibilities such as billing, campaign performance tracking, reporting, and project management.  This position is member-facing and meets with two member groups once a week or once a month.

Essential Functions and Responsibilities:

  • Manage the flow of project tasks between Digital Ad Design, Website Design, Ad Operations, Video Team, Events Team, and other internal departments
  • Responsible for internal scheduling of work throughout the company 
  • Proofread all work going to the above teams to ensure accurate and timely production
  • Coordinate the movement of several competing tasks and projects and track each task from one step of completion to the next  
  • Works with Sr. Marketing Program Manager, Sr. Director of Digital Strategy, Ad Ops, Art Directors, Teams Leads, Designers, etc., to train, organize, and manage production and workflows 
  • Work with internal teams to coordinate new project requirements and scope and identify any potential roadblocks
  • Create timelines and keep projects on schedule
  • Attends and leads member group weekly and monthly meetings, takes notes, and follows up on action items
  • Organize and maintain a project management system (Jira) for shared internal, vendor, member, and team communication and assets 
  • Assigns, schedules, reviews, facilitates kick-off meetings, and monitors all projects to ensure they are completed on time. Identifies, tracks, monitors, and communicates all project-related issues
  • Engage with the creative, web, video, operations, and events teams to ensure consistent processes and to assess opportunities for improvements
  • Support company leadership with all project management presentations and analytics
  • Creates co-op claiming documentation (screenshots, data from platforms, and invoices) according to co-op requirements for each group
  • Assist with billing and invoicing for group campaigns through Salesforce
  • Communicates all project statuses, reports, decisions, and assignments weekly 
  • Foundational knowledge base and capabilities to function across multiple tools will be critical to success within this role, some of those systems and tools include Salesforce, Outlook, Microsoft Office (Excel, Word & Power Point) as well as with various advertising platforms (Google, Facebook, Bing, Instagram, Pinterest, Datastudio, Supermetrics), and Google Sheets.
  • Marketing experience is highly preferred 
  • Proven track record of managing multiple accounts/timelines 

 

Remote Work/Travel: This position will work remotely from a home address and is subject to AVB’s Remote Work policies and procedures, as currently in effect.  In addition, from time to time, this position will be required to engage in travel, including travel to attend AVB’s Annual All-Employee Meeting as well as other travel obligations which may be required of the position, such as meetings with members, attendance at conventions and shows, and other events where you will represent AVB.  (Any requests for accommodations for required travel (including medical) should be addressed with Human Resources.)

 

Required Skills and Abilities:

  • Strong knowledge of project/task management 
  • Passion for analyzing, reporting, and improving the production of marketing activities.  
  • Strong analytical skills, data-driven thinking, and attention to detail  
  • Internet and research savvy; strong computer skills; strong familiarity with Meta and Google Ads 
  • Autonomous, works well under little supervision, takes initiative, and follows through is a must.  
  • Ability to work with Google Sheets, Salesforce, Teams, JIRA, Microsoft Office: Word, Excel, PowerPoint, and Outlook  
  • Highly self-motivated, highly productive, results-oriented, & positive can-do attitude, analytical, team player, detail-oriented, and organized.  
  • Excellent verbal and written communication – including the ability to interact effectively with all levels of staff, management, and members.  
  • Excellent follow-up, communication, and customer service skills, as this is a member-facing role.

 

Education and Experience:

  • BS or BA in Marketing, technical, or other relevant discipline. 
  • Experience managing digital marketing projects.
  • Experience with web and ad design, as well as knowledge of necessary specifications for implementation on digital platforms, is preferred.

 

Physical Requirements:

  • Prolonged periods of sitting at a desk and working on a computer.
